DLE Weekly Update: Special Setups for Quizzes/Assignments

Given the complexity of the assessments required for some courses offered to our learners, instructors need to set up more than a simple quiz/assignment using the Quizzes or Assignments tools in Brightspace.

We are starting a new series, and this first article describes in detail the solution to one problem presented by an instructor in our community.

Example 1 – combined course with two sections, different case studies for half of each course section

The problem:

The instructor teaches a combined course (with two sections combined – 010 and 020) and needs to assign a different Excel file to half of each section (four different files – in order to minimize cheating), as part of the students’ midterm exam. The students from each section will start the exam at different times, and they will be asked to download their own version of the exam (included in the Excel file), work on it, and then submit it to the assignment.

In this case, the instructor wants to use the Assignments tool, and manually grade all the student’s assignments. 

Our solution: 

When working with combined sections, Special Access options are used in order to assign different availability dates to students from different sections. The limitation of the Special Access function is that the instructor can not upload different instructions or attach different files for each of the sections.

  • Step 1: Divide students into four groups (one group category per section, each group category containing two groups).
  • Step 2: Create four assignments from Activities/Assignments, on your course navigation bar. For each assignment, attach a different Excel file
  • Step 3 (optional): Create four grade columns, include them in a category, and drop the lowest 3 grades.

The rest of the article describes in detail the above 3 steps:

Step 1: Divide students into four groups (one group category per section, each group category containing two groups).

Note: Access the Setting up Groups article for more information about groups in Brightspace.

Group category (Midterm Exam 010), restricted only to the students in section 010

 

Group category (Midterm Exam 020), restricted only to students in section 020

 

Step 2: Create four assignments by using the Assignments tool accessible from the Activities menu, on your course navigation bar. For each assignment, attach a different Excel file.

  • Use the Special Access options to make that particular assignment available ONLY to ONE group of students, by selecting the Allow only users with special access to see this folder option, and then filtering by groups and choosing the right group for each assignment.

Note that, when selecting the Assignments option from the Activities menu, each student will see only ONE assignment visible to them, making it less confusing.

Click on the Manage Special Access button.

Select the Allow only users with special access to see this folder.

Step 3 (optional): If a grade item column is needed in the gradebook, then you will need to:

  • Under Grades/Manage Grades, create a category called Midterm Exam and drop the lowest 3 grades, as each student will have a grade in only one of the four gradebook columns.

Create a new category.

  • Create four gradebook items from Grades/Manage Grades/New Item and make sure that you are including all four items under the category called Midterm Exam

All four columns should have the same value for the points possible.

Use New Item to add a grade item for each assignment.

  • Associate each column to an assignment by going to Activities/Assignments and editing each of the four assignments.

Link the assignment to an existing grade item.

  • In order to have a cleaner view of the gradebook for your students, hide the 4 assignment grade items, but leave the category visible to students.

Hide the grade items under Grades, but leave the category visible.
